Hayward Contracting is looking for an energetic Office Coordinator to join the team. The Office Coordinator will provide assistance and support to our Sales and Service Teams.
The ideal candidate will be very personable as the first point of contact for our clients and trade partners. This is an “in-person” position and is expected to be in the office daily, Monday-Friday, 8 am – 5 pm with a 1-hour lunch break. This position requires discretion with client information and company policies and procedures.
Office Coordinator Duties and Responsibilities

The Office Coordinator must complete many tasks to ensure the most effective support for our Sales and Service Teams.

The Office Coordinator will answer phone calls and emails pertaining to sales and service questions or concerns. They will follow up on orders and make appointments for the Sales and Service Teams. The Office Coordinator will also help manage service contracts. They schedule all travel arrangements with hotels and airlines for teams attending conferences, trade shows, or projects away from home.

Manage Distribution of Sales and Service Material and Equipment

The Office Coordinator will maintain an inventory of service supplies, such as fasteners and equipment to ensure that all service teams have an adequate inventory of these materials on-hand. They will place orders for these materials as needed.
Office Coordinator Skills
Office Coordinators are analytical problem-solvers who can work independently and meet deadlines. They are detail oriented and possess strong organizational and verbal and written communication skills. The ability to multitask and provide excellent customer service are essential for our Office Coordinator.
